Sometime in the summer months of 2013 in the city of Cebu in the Philippines, there was an incident that caught the attention of a lot of cosplay communities and organizations. The incident happened at a cosplay event called CosMaze Carnival, which was held at the convention hall of JCentre Mall. A great number of things were overlooked and lacking during that event, something that every cosplay event organizer should learn from.
About the Convention
CosMaze Carnival is a one-day cosplay event organized by a Cebu-based organization called Artfield Media. It was the organization’s dream to create an event for anime lovers and cosplayers. The convention was generally a success. However, there were some behind-the-scenes incidents that significantly affected not only the organizers, but other well-known cosplayers in the country as well.
-The Tux Team (a Manila-based cosplay and hobby group formed by Jin Joson and her friends) was invited to be among the guests of honor for the event. The organizers promised free flights, hotel accommodations, and pocket money during their stay in the city. In the end, there was no word or update regarding the matter and the team was left hanging with cancelled leaves of absence from work and one member losing a freelance job opportunity.
-Reika, a popular Japanse cosplayer was also invited to Cebu, but her stay was less than ideal due to lapses by the organizers. Reika had to pay baggage fees and her flights were scheduled for ungodly hours, giving her very little time to rest. The organizers even failed to provide Japanese interpreters, a private hotel room, and meals. (According to a personal testimony, Reika was only given fast food meals during the event.)
What Must Be Done
As organizers, it is your responsibility to make sure that guests are informed ahead of time and provided with everything they need for the duration of their stay. Remember, “It’s out first time to organize this kind of event” is never a valid excuse. You need to get enough sponsors and secure funding first before you even think about inviting popular personalities to the event.
“They Did Not Complain”
According to Jin Joson’s statements regarding the CosMaze Carnival incident, the organizers at Artfield claimed that Reika “did not complain.” Obviously, Reika was too much of a professional to complain, but that doesn’t mean the organizers have nothing to apologize for. This is why it is advisable to always think ahead. As organizers, it is your sole responsibility to correct situations that do not go as planned.
Plan Well Ahead of Time
If you plan to organize a huge cosplay event, be sure to start the planning process at least six months ahead. This should be enough time for you to look for sponsors and secure funding for even the smallest aspects of the event. What happened at the CosMaze event should serve as a wake-up call to would-be organizers who think that such events are easy to pull off.
There are instances when a veteran cosplayer approaches a beginner and lambasts him/her for an inaccurate detail in his/her costume or character portrayal. This really shouldn’t happen. Bear in mind that you, too, were once a beginner. Just because you have been in the world of cosplay for some time doesn’t give you the right to insult beginners because of a single inaccuracy in his/her cosplay.

Keep in Mind We all Started Somewhere
It is understood that long-time cosplayers started at a time when cosplay wasn’t really that popular yet. Some people may even continue to find it weird these days. Before you start critiquing another cosplayer, therefore, think what it was like when you were still starting and how much struggle you had to go through before you achieved your current status in the cosplay world. That should prevent you from doing or saying anything harsh to other cosplayers.
Pointing Fingers
This is one of the top reasons why there are conflicts among cosplayers and cosplay communities. Believe it or not, some (claiming to be) veteran or popular cosplayers tend to call out other cosplayers for such petty things as the costume not being 100% accurate or the character that he/she is portraying not suiting him/her.
“You Shouldn’t Cosplay That Character”
This statement is really offensive to some especially if you’re a newbie cosplayer. Always remember that people don’t have the right to tell you what character you should or shouldn’t portray. Cosplay is a type of performance art that should be appreciated by all, regardless of the experience, age, or cultural identity. If you really want to comment about something that seems off in the person’s costume, there are ways of doing so without offending the opposite party. U believe me, it isn’t really that hard to do.
“Your Skin Color Does Not Match Your Character”
Ok, now this is an even worse statement. Just because the person’s skin color is too light or too dark for a certain character does not mean she/he should not portray that character. You will never see a rule in any cosplay event that prevents anyone from portraying characters that do not “fit” a particular skin color. In fact, many cosplayers have gained a lot of praise for their manner of portraying the character, even if their skin color wasn’t an exact match.
“Don’t Cosplay That Character For I Will Cosplay Him/Her”
This is a common and popular “cosplay drama statement.” In the first place, no one has the right to tell you this because if you really love to portray this character in a convention, then you should go for it. Do not let anyone control what you cosplay and what you don’t cosplay. Just have fun, take it easy, keep calm, and carry on.
Aside from the usual highlights of cosplay events such as solo, pair, and group competitions, there are walk-in cosplay competitions for those who have no plans in joining the main competitions. This guide will help erase your worries and give you an idea on how to stand out.
Read the Rules and Regulations
Walk-in categories in cosplay competitions also have their own set of rules and regulations similar to the solo, pair, and group cosplay categories. Among the basics are as follows:
- The character you portray must be based from an anime, manga, video game, comic book, or any related media.
-Once on stage, you are only given a limited amount of time (about of 15-30 seconds) to walk on the stage/aisle and pose for the judges and the audience.
-As a walk-in cosplay participant, you no longer need to submit your dub or background music, since the organizers will be providing the background music during the walk.
-All walk-in cosplayers are required to follow the markers that organizers have written or taped on the stage floor. You are not allowed to go beyond the markers.
Original Characters
In some cosplay events or conventions, the organizers might allow original characters in the walk-in category. Original characters are usually fan-made or created by the cosplayers themselves. They can be based on a particular fandom or medium (anime, manga, video game, etc.) with some parts or aspects of the costume, prop, or weapon simply added or changed. Some original characters are also based on the cosplayer’s original story/novel or artwork.
Steampunk, gothic lolita, and Harajuku fashion-type cosplays are considered, but it’s best that you submit an illustration of your costume first to the organizers for evaluation.
Here are some important things you need to keep in mind before entering an original character in the walk-in category:
-Though these are original characters, it is still recommended that you provide a sketch or printed picture for the judges.
-Make sure the character does not break the event’s rules and regulations (e.g. nudity, messy props/weapons, aspects of the costumes showing R-18, etc.).
If it’s your first time to join in the walk-in category, it may help to practice your poses as you wait for your turn to go up on stage. You don’t really need too much movement and conversation. Just walk, strike your best pose, and exit the stage.
Word of advice: It may just be a walk-in competition, but you should still strive to know your character inside and out. Remember that the “peace” sign isn’t advisable for all anime, manga, and video game characters.
Tripping or Falling on Stage
Don’t worry. A lot of people experience this, especially beginners. In case you fall or trip on your costume while on stage, turn the whole situation around! Act as if it’s really part of your walk. When you trip, portray the character while you are trying to stand up. At the very least, people will appreciate your quick thinking.
Just Have Fun
Walk-in competitions are considered to be a “light” contest compared to the other categories. So let loose and just have fun!
